How to Report Associate MEmbers

Select chapter officers and advisors will have permission to report associate members to IHQ through the DU Portal. There is no Associate Member Report as it existed in the past. All associate members must now be reported through the Recruitment tool within the DU Portal using the following steps. All associate members must be reported within seven (7) days of the Pledging Ceremony.

NOTE 1: Everyone in your chapter will be able to view the chapter’s “Roles” and “Roster,” but only select individuals have administrative rights through the DU Portal to make updates. These people are: Chapter President, VP Finance, VP Administration, VP Member Education, VP Recruitment, Chapter Advisor, VP Finance Advisor, and House Corporation President. 

NOTE 2: Ideally, a chapter is using this Recruitment tool to track all PNMs throughout the recruitment process. However, we understand that during this first year of DU Portal implementation, many chapters may have already begun or completed recruitment prior to the DU Portal launch. Whether or not a chapter utilizes the Recruitment tool during recruitment, it will be how associate members are reported.

  1. Log into the DU Portal at portal.deltau.org.
  2. At the top right of your screen, there should be a button with a house icon and with your chapter name. Click on that to access your chapter dashboard.
  3. Click on the “Recruitment” icon.
  4. If you are using the Recruitment tool to track your recruitment pipeline:
    • Potential new members (PNMs) can be added one at a time under the Potential New Member Category on the left of the screen by selecting the icon that looks like a person with a plus sign. They can also be batch uploaded by using the “Add Potential New Members” button on the right of the screen, just under your name. Note that First Name and Last Name are required fields. Fields like Email Address and Phone are optional but recommended.
    • Once a PNM has been added to the Potential New Member list, they can be moved throughout the pipeline by dragging and dropping his card to the correct category or by clicking the settings button to the right of their name and selecting the correct status.
    • Once a PNM’s card makes it to the Bid Extended Category, and the individual has accepted their bid, they can be reported to IHQ.
      • Clicking the blue “Report” button at the top of the Bids Extended Category will report all individuals listed within that category.
      • Associate members can be reported one at a time by clicking the settings button to the right of their name and selecting “Report.”
      • Please note that the PNM must have an email address included in his card in order to be reported to IHQ.
    • Once an associate member has been reported to IHQ, they will receive an automated invitation to join the DU Portal and complete their Member Bio.
  5. If you only wish to report new associate members and not track them in the recruitment pipeline:
    • Associate members can be added one at a time under the Bids Extended Category by selecting the icon that looks like a person with a plus sign. First Name, Last Name and Email Address are required for each individual.
      • Clicking the blue “Report” button at the top of the Bids Extended Category will report all individuals listed within that category.
      • Associate members can be reported one at a time by clicking the settings button to the right of their name and selecting “Report.”
      • Please note that the PNM must have an email address included in his card in order to be reported to IHQ.
    • Associate members can also be batch uploaded by using the “Add Potential New Members” button on the right of the screen, just under your name. Note that First Name, Last Name and Email Address will be required for each person.
      • These individuals will be automatically placed in the Potential New Members Category and will need moved to the Bids Extended Category. Cards for each person can be dragged and dropped to the correct category or by clicking the settings button to the right of their name and selecting the correct status.
      • Once a in the Bid Extended Category, associate members can be reported to IHQ by either clicking the blue “Report” button at the top of that Category (this will automatically report every person listed in the Category) or by individually clicking the settings button to the right of each associate member’s name and selecting “Report.”
    • Once an associate member has been reported to IHQ, they will receive an automated invitation to join the DU Portal and complete their Member Bio.
